Privacy Policy
Effective July 12, 2026 · Scout (scout.rockhoppersports.com), a Rockhopper Sports product
The short version: your vault is yours. We collect what you give us to run Scout, we don't sell it, we don't blast coaches with it, and you can ask us to delete it any time.
Who we are
Scout is a recruiting tool operated by Rockhopper Sports (Rookery Ventures LLC). Questions and requests: privacy@gentoologic.com. We answer data requests within 30 days.
What we collect
- Account basics — name, email, role (athlete / parent / coach), date of birth (athletes; used only to enforce our 13+ age rule), sport, high school.
- Your vault — what you choose to add: GPA, NCAA eligibility ID, highlight-film links, measurables, transcripts you upload, camps you log, schools you track, and outreach you record.
- Usage — standard technical logs from our hosting provider (Google Firebase) needed to run and secure the service.
Athletes are minors — how we treat that
- Scout accounts are for athletes 13 and older. Under 13, a parent or guardian creates and manages the account (we block under-13 self-signup at the door).
- At sign-up, athletes confirm they're 18+ or that a parent/guardian knows they're using Scout. Parents can review or remove their athlete's data any time via the email above.
- We never publish an athlete's private data. Coaches see what an athlete chooses to share — a shared profile link, a reference request, an email the athlete sends.
Transcripts and private records
Transcripts and private documents are stored in Google Firebase Storage under access rules that limit reading to you and the people you explicitly share with (for example, your own high-school coach on your roster). Scout staff do not browse your documents.
The college directory (public data)
Scout's directory of college programs, coaching staff, and rosters is assembled from publicly published sources — schools' own athletics websites and the NCAA's public directory. Coach contact information & anti-spam stance
- Scout shows verified, publicly listed coach contacts so athletes can reach out 1-to-1. There is no bulk-blast feature, by design.
- Any coach can have their phone number suppressed from listings (TCPA opt-out) — one email or the in-app flag does it.
Services we rely on
- Google Firebase — hosting, sign-in (Google or email link), database, file storage.
- Anthropic — server-side parsing when we assemble the public directory (no athlete personal data is sent).
- Email delivery providers (e.g. Resend/SendGrid) — only for messages you request, like sign-in links.
We don't sell personal data. We don't run third-party ad trackers.
Your controls
- Delete — email privacy@gentoologic.com from your account email and we delete your account and vault within 30 days.
- Export — same address; we'll send you what we hold.
- Correct — fix most things directly in the app (Account and Vault).
Changes
If this policy changes materially, we'll note it here with a new effective date and flag it in the app.
